Ask any rental owner what goes wrong on a changeover day and linens come up first. Not cleaning — linens. Wrong sizes, not dry in time, one set short, stained items discovered at the worst possible moment.
This is an inventory problem wearing a laundry costume.
Three sets, minimum
One on the bed, one clean and ready, one in the wash. With two sets you are permanently one delay away from a problem. With three, a machine breakdown or a late checkout is an inconvenience rather than a crisis.
Standardise ruthlessly
- One colour, one brand, one quality across the whole property
- White where you can — it can be bleached and it visibly signals clean
- Same pillow sizes in every room, so nothing is room-specific
- Retire the whole set when it goes, rather than replacing pieces
Mark and rotate
A small mark on a care label showing the season it entered service tells you at a glance what to retire. Rotating sets evenly means they wear at the same rate rather than one set dying early.
The stain rule
A stained sheet does not go back on a bed, ever, under any time pressure. It is the fastest way to a bad review and it is the decision most likely to be made badly at 2pm on a Saturday with one house left. Decide it in advance so nobody has to decide it then.
Off-site or on?
On-site laundry is cheaper and slower. Off-site service is more expensive and far more reliable in peak season. Most owners we work with on Long Beach Island run on-site in June and September, and switch to a service for July and August.
Towels are the harder problem
Towels take longer to dry than sheets, get used more heavily, and go grey faster. Buy white, buy mid-weight rather than luxury-thick — thick towels feel wonderful and will not dry between changeovers in August humidity, which is how properties end up short.
Stop using fabric softener
It coats fibres and destroys absorbency, which is exactly the opposite of what a towel is for. It also builds up over washes so towels feel soft and stop working. White vinegar in the rinse does the softening job without the coating.
Store it where it is needed
A locked owner’s closet in the property with the spare set, spare towels and restock supplies removes an entire category of turnover problems. A crew that has to fetch something is a crew that is late to the next house.
Count on the way out
Guests take towels to the beach and they do not always come back. A count at the end of every turnover — not at the start of the next one — catches a shortfall while there is still time to do something about it.
Budget for replacement annually
Linens are a consumable in a rental, not an asset. Owners who plan for a proportion of replacement each spring never have a bad season. Owners who replace only when something fails always have the shortfall in July.
